INITIAL SITUATION

At the Mertingen site alone, an average of up to 600 individuals and approx. 2000 trucks visit Zott each month. As many food manufacturers, Zott is certified according to the IFS Food Standard and thus meets strict requirements on food defence. Besides information on the guidelines of the site, these also include controlled access of defined groups of persons. Prior to the implementation of the VISIT visitor management system, the documentation of visit processes was done through the local security system of the employed external security provider. The new reception building at the Mertingen site as well as the planned restructuring of the company premises, however, involved new requirements.

OBJECTIVE

As part of the restructuring, the aim was to be able to transfer visitors within the company premises from reception gate to reception gate without duplicate data collection. Moreover, the workload of plant security with regards to the high number of visitors was to be reduced, and a system was to be implemented that would enable self-registration of visitors at a terminal.

SOLUTION BY VISIT

In 2017, the VISIT visitor management system by the software engineering company ASTRUM IT was installed for the first time at the Mertingen site. Using this system, Zott organises and documents visitor and supplier traffic at the site of one of the leading dairies in Europe.

Central server installation

Since VISIT is a .NET-based web application, the system could be installed centrally on a server. All data are available at all workstations and thus across sites and simultaneously. Due to the central server installation, the visitor numbers can be retrieved from the system at any time at the push of a button. An overview of the number and whereabouts of external persons on the premises can thus be ensured also in potentially dangerous situations.

Modular structure

The modular structure of VISIT allowed for a step-by-step adjustment of the system according to the requirements of Zott. Based on the most important requirements, the self-registration and safety briefing modules were selected in addition to the basic visitor management module.

Self-registration

With the integration of the selfregistration module, the workload of the reception employees could be reduced. In case of spontaneous visits, registration and relevant data queries are now effected as a self-service in the respective local language of the visitor.

Safety briefing

Besides the registration of the visitor, the safety briefing was configured individually and issue-specifically by Zott and can now be completed at the check-in terminal. After completion of the registration process, the visitor receives the visitor badge with the corporate design of the Zott Gourmet Diary from the reception staff.

Online check-in

To meet the requirements of growing traffic volume, the implementation of additional features is planned. The integration of the online check-in module will enable visitors in the future to complete registration including safety briefing even before entering the premises using their own terminal.
