Initial situation
Zollern GmbH u. Co. KG used a different visitor management software until the introduction of VISIT. Apart from the pre-announcement, this software could not fulfil the requirements for comprehensive documentation of delivery and visitor processes.
Entering and leaving the factory premises was documented manually and the notes then had to be archived. In order to minimise the workload, automated processes, group registration of visitors and a comprehensive overview of delivery processes and documentation of CEP drivers (courier, express and parcel drivers) are to be introduced.
Objective
The introduction of the professional VISIT visitor and delivery traffic management system on Zollern’s factory premises means that all visitor procedures, delivery processes and delivery staff are recorded. The simple overview of all external persons increases security on the factory premises. Automated processes such as e-mail notifications between visitors and Zollern employees from the system and supplier management, including lorry call-offs, free up personnel resources.
The second phase involves self-registration at the kiosk terminal, including safety instructions for visitors, tradespeople and suppliers. This results in significant savings in time and resources for reception/security staff due to the elimination of manual instruction plus registration by employees.
Solution
VISIT 2024 was introduced at two Zollern GmbH sites. The system is being used intensively and has been well received by employees. In the event of safety-related incidents, it is now easier to check who is still on the factory premises.
Pre-registration / Email notification / Professional public image
Zollern employees can pre-register and manage their visitors independently via the VISIT visitor management system. Invitations and status updates are also automatically sent to visitors and visiting employees. The corporate design of Zollern is used in the emails and thus offers a professional image to the outside world.
Self-registration
The integration of the self-registration module significantly reduces the workload for site security and reception staff, who now always have a complete overview of the people present. In the case of spontaneous visits, registration and querying of relevant data is now carried out in the visitor’s respective national language in self-service.
Central server installation
VISIT is installed centrally on a server. All data is therefore available to all workstations across all locations and at the same time. Thanks to the centralised server installation, the system provides information on visitor numbers at any time at the touch of a button. An overview of the number and location of external persons on the factory premises is therefore guaranteed, even in potentially dangerous situations.
Modular structure
The modular structure of VISIT enabled the system to be gradually customised to Zollern’s needs. Based on the prioritised requirements, the basic module for visitor and supplier management (VISIT Basic and VISIT Logistics) was initially chosen. In the next step, the system was expanded to include the self-registration, security briefing and online check-in modules.
Safety instruction
In addition to visitor registration, the safety briefing was customised by Zollern and can now be processed via the registration terminal. After completing the registration process, the visitor receives a visitor badge in the corporate design from the receptionist.
Online check-in
In order to meet the requirements of the growing number of visitors and traffic, further features are being planned. The integration of the online check-in module will enable visitors to complete the registration process, including security briefing, via their own device before entering the site.
